Terms and conditions

Article (1) Subscription Conditions:

  1. Subscriptions are open to Arab and foreign countries, companies, industrialists, producers, importers, Libyan agents, and public sector entities.
  2. A subscription form must be filled out and sent to the organizing company’s management.
  3. The subscriber must pay 50% (fifty percent) of the total fees for the allocated area within 30 days from the date of submitting the subscription request for the event. The remaining 50% of the total amount must be paid one week before the opening of the exhibition. Subscription may be accepted via an email message, even if the subscription request form has not been filled out, but this is only for subscribers outside Libya.
  4. The organizing company’s management reserves the right to reject unsuitable requests and to reallocate and replace the designated exhibition spaces as per available options.
  5. Subscribers are not allowed to modify the installation design used for creating the exhibition space, its location, or its size without prior permission from the organizing company.
  6. The minimum allocation for spaces is as follows:
  • A- Equipped spaces: 15 square meters.
  • B- Unequipped spaces: 18 square meters.
  • C- Open spaces: 50 square meters.

Equipped spaces include the following:

  1. Side walls (exhibition dividers).
  2. Floor covering.
  3. Company name.
  4. Three (3) spotlights.
  5. One table.
  6. Two (2) chairs.
  7. One power source (5 amp capacity).
  8. One trash bin.

Article (2) Exhibits:

Goods may be imported and supplied except for those excluded by the applicable laws and regulations in Libya. Subscribers are not allowed to conduct any experiments or displays inside or outside the booth without obtaining written approval from the organizing company’s management, and must take all necessary precautions to ensure the safety of users and visitors. Subscribers bear legal responsibility for any incidents that occur during the experiments they conduct, and the organizing company will not be liable for any resulting consequences, with the possibility of suspending their activities unless they present the relevant documents and papers to support their actions. Subscribers are not permitted to move or transfer exhibits from their section during the exhibition period.

Article (3) Insurance:

The organizing company’s management shall not bear any responsibility for accidents, emergencies, or damages of any kind that may affect the buildings, facilities, and exhibits of the exhibitors, as well as the personnel working with them; this responsibility remains with the exhibitors individually. Insurance against all risks within the exhibition is mandatory and shall be the responsibility of the exhibitors, including private booths and sections, with one of the Libyan insurance companies.

Article (4) Withdrawal of Exhibitor:

  1. In the event that an exhibitor withdraws or is absent one month prior to the opening of the exhibition, 50% of the paid amounts that are approved for refund by the organizing company’s management will be returned.
  2. If the exhibitor withdraws less than one month before the opening of the exhibition, no amounts paid by the exhibitor will be refunded, and the organizing company’s management must be notified regarding this matter.

Article (5) Cancellation and Postponement:

In the event of cancellation or postponement of the exhibition for reasons beyond the control of both parties, the organizing company’s management shall not bear any obligations or legal responsibilities, and exhibitors cannot claim compensation. However, participants or exhibitors may recover their funds, except for registration fees and expenses incurred by the organizing company to carry out the tasks they were assigned.

Article (6) Prior Permission:

Exhibitors must obtain prior permission from the organizing body in the following cases:

  1. When distributing books, films, and any promotional or informational materials, restricted to their booth during the exhibition period.
  2. If the exhibitor wishes to use sound systems and visual systems, and to play audio recordings or broadcast visual television either through television, video, recording devices, CDs, or other electronic means.
  3. The use of walls, ceilings, and other surfaces for advertising is prohibited except through the media and public relations department, and distributing promotional materials or samples is allowed only after paying the relevant fees to the media partner.

Article (7) Exhibitor Responsibility:

Exhibitors are legally responsible for their exhibits during the exhibition visiting hours. The organizing company’s management reserves the right to take all necessary security measures, particularly at times it deems appropriate for its interests.

Article (8) Property Damage:

The exhibitor should not cause any damage to property, whether fixed or movable. In the event of doing so, they shall compensate for any damages incurred without prejudice to legal responsibility.

Article (9) Decoration Installation:

  1. Exhibitors who are responsible for installing their own booths shall be solely responsible for any incidents resulting from construction and installation, as well as for the rights of others, and must adhere to the issued instructions in this regard.
  2. The decoration installation in booths should be completed no later than 24 hours before the opening of the exhibition, and any remnants of designs or rejected materials should be disposed of. The organizing company reserves the right to impose a financial penalty as compensation for any damages incurred.

Article (10) Exhibitor Responsibility:

  1. After the exhibition period ends, exhibitors must:
  • A. Vacate their display units, whether indoor or outdoor.
  • B. Remove decorative materials and other accessories specific to the exhibitor.

Article (11) Storage Conditions:

  1. Storage during the exhibition period for excess exhibits, containers, and boxes is as follows:
    1. Pay fifty dinars per square meter for the container or box.
    2. Pay thirty dinars per meter for the container or box per day after one week from the end of the exhibition.
    3. No exhibits or display materials are allowed to remain within the International Fair City of Tripoli after one month from the date of the exhibition’s conclusion, after which the exhibits and what is in storage, whether open or covered, will be subject to confiscation and sale according to the applicable procedures and regulations.

Article (12) Exhibition Conditions:

    1. All goods, exhibits, and equipment must be brought in accordance with the legal regulations regarding temporary importation.
    2. Exhibitors are responsible for the transportation of goods to and from the exhibition site.
    3. The organizing company’s management has the right to appoint external contractors to handle all goods inside and outside the exhibition grounds, taking into account the provisions of laws restricting the import of certain goods or requiring special approvals for their entry.
    4. Goods will not be delivered to the exhibition participants by customs officials until all necessary documentation is fulfilled.

Article (13) Visa Procedures:

Participants must fill out the prepared form and attach a clear copy of their passport, including a copy of the page containing the participant’s visa and residence address if they are not Libyan citizens, and send it to the company’s address according to the following fees:

    1. Invitation fees and telex messages (200. L) fifty dinars per person, payable to the Tripoli International Fair account.
    2. Other fees payable to the Libyan consulate that issues the entry visa.

Participation regulations

Obligation to equip the booth during the equipping period, which will be communicated later.
Obligation to remove the exhibits and empty the booth no later than 48 hours after the completion of the exhibition, and the organizing company is not responsible for the loss or damage of any exhibits after the expiration of this period.
Use DoubleFace adhesive only to paste on the walls of the partitions.
In the event that it is not possible to attend and participate in the exhibition due to circumstances, the organizing company will be informed and the participant will not be entitled to claim a refund of the subscription value.
In the event that the exhibition is canceled by the organizer for any reason, the value paid to the exhibitor will be refunded in full and this condition does not apply in case of force majeure.
The organizer is obligated to provide security throughout the days of the exhibition, except for the periods of the exhibition, where the responsibility of studying it lies with the participants.
It is not allowed to dismantle the booth or remove any exhibits until after the end of the exhibition.
Participating companies are obligated to remove all waste during and after the exhibition.
The exhibiting company is not considered accredited in the exhibition until the full subscription fee is paid.
